Use this checklist for each Purview rollout. A selected item should have recorded evidence: owner, scope, date, verification method, exception, and next review date. Checkbox selections are stored only in the current browser.
Design
- Define data owners, compliance obligations, regulatory scope, and escalation paths.
- Design role-based access control (RBAC), administrative units, and approval boundaries.
- Inventory high-value data stores, business processes, and data residency requirements.
- Plan Data Map collections, governance domains, retention, and cost ownership.
Pilot
- Onboard one representative source and validate metadata, classification, and access.
- Publish one sensitivity label to a pilot group and test user, mobile, and guest impact.
- Deploy one data loss prevention (DLP) policy in simulation or audit mode.
- Confirm audit logging, alerts, activity explorer, and evidence collection.
Expand
- Tune classifications, labels, and DLP (data loss prevention) conditions with data owners and record exceptions.
- Enable enforcement only after approvals, help-desk readiness, and rollback are tested.
- Reconcile source inventory, scan health, and cost after each rollout wave.
Operate
- Review scanner health, policy outcomes, label adoption, and false positives.
- Review privileged roles, PIM (Privileged Identity Management) activations, and access assignments.
- Revalidate retention, legal hold, licensing, and audit evidence.
- Remove retired sources, labels, policies, and billable dependencies.
Business example
For a pilot, a compliance team onboards one SharePoint source, publishes a Confidential label to a small group, and runs a DLP (data loss prevention) policy in simulation mode. They expand only after data owners, privacy, and finance owners approve the classification accuracy, user impact, and cost.
