Why it matters
Most data loss is accidental: a user emails a spreadsheet to the wrong recipient, shares a link too broadly, or copies sensitive files to personal storage. Data loss prevention reduces that risk by watching for sensitive content in the places work happens, Microsoft 365 services, Office apps, endpoints, and cloud apps, and taking action when a policy matches. Crucially, DLP (data loss prevention) is native to the tools people already use, so it can protect data even when users are not thinking about data protection.
DLP (data loss prevention) does not rely on a simple text scan. It uses deep content analysis, including keyword and pattern matches, function validation, proximity of corroborating evidence, and machine learning, to decide whether an item is genuinely sensitive. - Forgetting that email is only scanned for new messages, so existing mailbox items are not retroactively matched.
